Setting a document as the source

What the "Set as source" action does, when to use it, and whether it can be undone.

Set as source changes which document is a product's source of truth. You'll find it on the product's detail page, next to each document that isn't currently the source.

When to use it

Use it when a different document should own the product's shared facts. For example, you built a quick sell sheet first but your detailed data sheet is now the authoritative one, or the original source document is being retired.

What it does, step by step

  1. On the product page, find the document you want to promote under Documents from this product.
  2. Click Set as source.
  3. Confirm when prompted ("Make this document the source of truth? Its details become the shared facts for this product, and the other documents can update to match.").

When you confirm, DataSheets Pro repoints the product's source to that document, re-reads its facts into the product record, and marks the new source as up to date. Every other document, including the one that used to be the source, is now flagged with an update available, so you can bring them into line if you want.

Does it replace existing data?

It replaces the product record's shared facts with the new source's facts. It does not rewrite your other documents. They keep their content until you choose to apply an update. The new source document itself isn't changed by the action; it simply becomes authoritative.

What happens to the previous source

Nothing is deleted or unlinked. The former source becomes an ordinary linked document. Because the product's facts now come from the new source, the old one may show an "update available" nudge like any other related document.

Can it be reversed?

Yes, completely. Just click Set as source on another document (including the previous one). Nothing is destroyed in the process, so you can move the source around as often as you need.
