Importing products from a spreadsheet

Turn an XLSX or CSV into products in My Products: supported files, the worked example and template, and the four steps of the import.

If you keep product data in a spreadsheet, you can import it instead of typing each product in by hand. Every row becomes one product in My Products, with everything you mapped stored on it. Documents come afterwards: open a product and Create a document from it whenever you're ready. Importing is included on Pro and above.

Watch: importing the worked example, start to finish (2:31).

Supported file types

  • XLSX (modern Excel): supports a Products tab and an optional Blocks tab for content that takes several rows per product.
  • CSV: imports the Products tab only (no Blocks tab).

Start from the worked example or the blank template

On the import page, the Start from a spreadsheet card offers two files:

  • Download a worked example: 25 products with real ordering tables. Import it, look at what it made in My Products, then undo it from Recent imports. It's the quickest way to see how a file becomes products.
  • Download a blank template, with three tabs: Instructions, Products (one row per product) and Blocks (content that needs several rows per product).

Columns you can bring in

Only Product name is required. Everything else is optional. The product fields you can point a column at are: Product name, Subtitle, Model, Part numbers, Key / ID, Category, Image URL, Logo URL, Description, Specifications, Key features and Status.

  • There's no separate SKU column. A column headed "SKU" is read as Part numbers automatically.
  • You don't need to collapse a spec table into one cell. Keep one column per spec: any column that doesn't match a product field is sent to Specifications, and its heading becomes the row label. You can point columns at other blocks too (a feature list, a table) and each is built from all the columns you send it. See Mapping your columns.
  • Give every product a stable Key / ID (an item number or internal code). It's how a re-import finds the right product after a rename, and how a Blocks tab row links to its product by ID.

How a file is read

  • A tidy single-sheet file with headings on its first row goes straight to matching columns. Otherwise you'll see the Sheet & headings step: Reading ‹sheet›, headings on row N, with your own rows shown. Switch tabs if the wrong worksheet was picked, then click the row that holds your column headings, and everything above it is skipped.
  • A worksheet named Tables or Blocks is read as your Blocks tab automatically. Any other second sheet whose first column matches your product names or keys is offered with Include it; nothing is brought in unless you accept it.
  • Image and logo URLs must be publicly reachable when you import. Each one is fetched (within 8 seconds, up to 10 MB) and re-hosted into your workspace's storage, counting toward your storage. A link that can't be fetched leaves that product without an image.
  • Pictures pasted into cells are picked up too. A picture sitting over an empty cell in an image column becomes that product's image; a URL you typed always wins. Very large pictures (over about 1.5 MB) are skipped, and a file with many pictures may be too big to send in one go.

Running the import

  1. Go to Products in the sidebar, then click Import spreadsheet on My Products.
  2. Choose file: drop your XLSX or CSV onto the upload area, or click it to choose a file.
  3. Sheet & headings: if it appears, confirm the worksheet and the heading row, then click Continue. (A tidy file skips this; the next step names what was read, with a Change link.)
  4. Match columns: check where each column is going in the Match your columns card, glance at Preview: row 1, then click Continue. You can't continue until one column points at Product name. See Mapping your columns.
  5. Check and import: review the row list, fix any flagged names or statuses inline, then click Add N products. See Reviewing, fixing and validating rows.

When it finishes you'll see Added N products with Go to My Products and Import another file. A large file keeps going on its own, so you can close the tab and the finished import appears under Recent imports on My Products.

After the import

  • Each product shows its source file under Source on My Products, and the Import batch filter finds everything from one upload.
  • Open a product and click Create a document to build a document from it, or select several and create them in bulk. See Documents from a product.
  • Made a mistake? A workspace owner or admin can Undo the whole import from Recent imports on My Products. See Undoing an import.
  • Re-import the same file later and matching rows update the products instead of duplicating them. See Updating products by re-importing.
