Imports

Reviewing, fixing and validating rows

The Check and import step shows what each row will do, flags rows that need attention, and lets you fix them without re-uploading.

Nothing is created until you confirm. The Check and import step lists what each row will do, counts the outcome, and flags anything that needs your attention, which you can fix right there.

Watch: How to Review and Fix Rows Before Importing (2:14)

Reading the summary

The bar at the top reports the outcome at a glance: how many rows are new, how many are updates to products you already have, how many carry tables or images, how many need attention, and how many blank rows were skipped. It also names the worksheet and heading row being read, with a Change link.

The Check before importing table

One line per row of your file: a ✓ or ! mark, the Product name (editable), the Result (New adds a product, Update overwrites one you already have, matched on Key / ID or name), the Model, What comes with it ("3 part nos. · 12 specs · image", or "name only") and the Status, which you can switch between draft and final. The first 8 rows are shown; the count underneath says how many there are in all.

What gets flagged

Validation is deliberately light. A row is flagged when:

  • Product name is missing: the one required field.
  • Status isn't recognized: it should be "draft" or "final".

Flagged rows don't block the import. They're simply skipped when you add, unless you fix them. The N rows need attention card lists them (the first 20) with a name field, a status dropdown and the reason; edit a row and it reads Fixed ✓. The card's heading changes to All flagged rows fixed once they're all clear.

Warnings you may see

  • Duplicate names: several rows share a product name. Each still creates its own product; nothing is merged.
  • Unmatched table groups: rows on the Blocks tab that didn't match a product are skipped. See Importing multi-row content.
  • Too much to send: a file with many pasted pictures can be too big for one import. Split it, or link pictures by URL instead of pasting them into cells.
  • An import is already running: one import runs at a time per workspace. Wait for it to finish, then try again.

What stops you from adding

Only two things disable the Add N products button: no column points at Product name, or there are no valid rows. Plan document limits don't apply (products use no document slots), but one import holds at most 5,000 products.

Large files keep going without you

After you click Add N products, a file too big to finish in one go carries on in the background: the done screen reads Adding your products… with a running count, and you can close the tab. The finished import appears under Recent imports on My Products, where an owner or admin can also undo it.
