Updating products by re-importing

Re-import the same file and DataSheets Pro updates matching products instead of creating duplicates.

Your product data changes over time. When it does, re-import the updated spreadsheet. DataSheets Pro recognizes products you already have and updates them in place instead of making duplicates.

How matching works

Each row is matched against your existing products:

  • Key / ID wins. If your spreadsheet has a Key / ID column, that's used first, so a product that's been renamed still matches.
  • Then name. If there's no Key / ID match, the product name is used.

The Check and import step tags each row New or Update. A match updates the existing product; no match creates a new one.

What an update changes

  • Only the columns your file carries are written. A product's description, images or part numbers are left alone when the file has no such column, so a two-column price refresh doesn't wipe everything else.
  • A mapped column with an empty cell clears that value. Mapping a column means the file speaks for it.
  • A Status cell sets the default status for documents made from the product.

Documents made from the product

Updating a product doesn't rewrite its documents. Instead, each document made from it is marked as showing older details: the product's page shows Product information changed with an Update button next to each document, so you can look at what changed before applying it. See Keeping related documents up to date.

Limits

Importing is included on Pro and above. Because an import creates products, not documents, your plan's document limits don't apply to it. One import holds up to 5,000 rows and 6 MB; split a bigger file into parts. Document limits do apply later, when you create documents from products in bulk.
